WEDDING TERMS AND CONDITIONS OF BOOKING AND HIRE 2016
Bookings are only valid upon receipt of your completed and signed booking form, terms and conditions, 25% deposit (calculated on the booking form) and the written confirmation from the company. The final outstanding balance must be paid in full 6 weeks prior to the commencement of the hire period. Failure to do so will automatically cancel your booking and forfeit your deposit.
At the time of booking you will be given your choice of vehicle subject to availability. In the event of your chosen vehicle not being available due to accident or mechanical breakdown, the company reserves the right to change your chosen vehicle without notice. However, we will always endeavor to inform you of this prior to the commencement of the hire period. In the unlikely event that your chosen or replacement vehicle become unavailable prior to the hire period the company will refund the full monies paid.
Late bookings (less than 6 weeks prior to the hire period) must be made with immediate full payment upon booking, dependent upon vehicle availability.
Any extra requests or alterations to the booking must be confirmed with the company in writing before the day of hire. The hirer agrees to pay any additional costs incurred as a result of these amendments. This could include a change of venue, additional pick up points or itinerary / timing changes and mileage. This list is not exhaustative.
Once a booking is made and confirmed, the price quoted to the hirer will not be changed unless the hirer wishes to make alterations to the booking. Only in the event of fuel prices rising dramatically or for ferry crossings will we have too charge you extra, you will be notified should this be the case.
In the event that your chosen vehicle becomes unavailable prior to the date of hire, every effort will be made to supply an alternative vehicle(s) at the company’s discretion. If this is not acceptable to the hirer or if a replacement vehicle is unavailable, a refund will be made of monies paid. The Company has no further liability to the hirer.
In the event of cancellation by the hirer, all deposits paid will be forfeited. For cancellations less than 6 weeks prior to the hire period the full amount of the hire will be payable to the company.
Periods of Hire
Hire shall commence when the vehicle arrives at the first appointed location and will remain with you for the agreed duration as identify on your booking form. All journeys must be identified and confirmed by the company at the time of booking. Any overrun of time longer than agreed will be charged at £30 per hour per vehicle (part hours will be rounded up to the nearest hour and will be granted at the company’s discretion).
The Company cannot accept responsibility for adverse weather conditions or acts by other persons or organisations which may impact on the hire period. No responsibility will be accepted for missed connections and/or functions missed or delayed, howsoever caused including traffic congestion on route to your destination all of which are out of our control.
Whilst every effort is afforded to maintain the serviceability of the vehicles, responsibility cannot be accepted for mechanical, electrical or material breakdown whatsoever. In this unlikely event, every effort will be made for the immediate repair to the vehicle so that the journey can continue, OR where possible a replacement vehicle will be provided OR a full and complete refund of monies paid. The Company has no further liability to the hirer. In the event of a breakdown, should the hirer accept the replacement vehicle no further monies or compensation will be given.
In the event of a breakdown or accident involving your chosen vehicle prior to the date of hire, every effort will be made to supply an alternative vehicle(s) at the company’s discretion. If this is not acceptable to the hirer a refund will be made of monies paid.
The consumption of food/food products or drink is not permitted unless authorised by the company. All of our vehicles are non smoking and smoking inside the vehicle is not permitted. Any infringement of this policy will render the rental invalid, monies paid will be forfeited and the rental terminated.
The hirer shall be fully responsible and liable for any damage caused both inside and outside the vehicle(s) by themselves or any member and his/her party howsoever caused. This includes incitement to ANY third party which results in damage to the vehicle or its contents. The hirer will agree to be liable for the total cost of the repair and the company will determine the location of the repairer.
The company takes no responsibility for the hirer’s or any member of his/her party’s possessions used or left in the vehicle. The hirer must make sure all possessions belonging to the hirer or any of his/her party are removed at the end of each rental term.
The company or its representative(s)/employee(s) reserves the right to refuse entry to the vehicle(s)or to any person(s) they deem unfit, for whatsoever reason, and can refuse to continue the journey if any person(s) behave in a manner which may be detrimental to any other person or the vehicle’s contents. In this event no refund of monies will be given.
A £100 valeting cost will be charged if the vehicle(s) require additional cleaning due to food or drink spillages or illness.
Wherever possible seat belts must be worn. This is a requirement by law and must be adhered to. For safety, children under the age of five years old are not permitted to travel in the vehicle. Children of five years or older are only permitted to travel in vehicles fitted with seat belts. The hirer is responsible for the providing and fitting of any child seats/booster seats needed. In the event that an adult chooses not to wear the seat belt provided, s/he does so at their own risk.
Children below the age of five are not permitted to travel in the vehicle. Children must be accompanied by a supervising adult whilst travelling in the vehicles.
The company may take photographs of your event to be used on our website or promotional material. If the hirer does not consent to this, the company must be informed in writing at the time of booking.
Breaches of these Terms and Conditions
If you commit a breach of these Terms and Conditions we will have the right to terminate your booking and request you vacate the vehicle immediately. A breach of these Terms and Conditions includes, without limitation, failure to comply with our instructions, health and safety advice or circumstances where your behaviour or that of your guests is likely to have a significant adverse effect upon the vehicle or people or property in the vicinity. In the event of you committing a breach of these Terms and Conditions no refund of the fees you have paid will be returnable to you.
Our Liability to You
The company will not be liable for any loss or damage suffered by you or any member of your party or to your or their property, except where such loss or damage is due to our negligence. If The Company is negligent our liability to you will be limited to the loss or damage which was a foreseeable result of such negligence. Except in the case of death or personal injury resulting from our negligence, our total liability to you in respect of any breach of these Terms and Conditions or other act or omission by us in connection with this contract shall be limited to the price agreed to be paid by you for the right to use the van for the period agreed.
When you book your vehicle, The Company will collect personal information such as your name, email address, home address and telephone number. We will not use your personal data for any other reasons other than what is set out above.
